Auction Update

Good afternoon parents,
Stacy Ybarra and the auction team are working hard to make this event our biggest fundraiser ever. It is a huge task and they deserve a big thank you.
This year we'll be using both the gym and the hall and have added dinner and dancing! Spread the word to family, friends and alumni that St. George is the
place to GROOVE on March 23 for a night out on the town! Tickets will be selling soon. Reserve your table for 8 or 10!
Thank you to those who have donated already to this year's auction.
The deadline for your auction donations is approaching quickly, February 15th. Donations are now being accepted for the silent auction. We are also
looking for exciting, big-ticket items for the Live Auction like Time Share Rentals and hotel/dinner packages. Contact the school office if you are looking
for suggestions. Two, three and even four families can go in together and create a unique package! Donations can be brought to the office from 8 am till
3 pm during the week or make an arrangements to bring them in later in the afternoon.

Preparations for the annual Spring Auction have begun! We are very excited to announce our theme — Let’s Groove Tonight! We plan to host a 70's inspired
dance party following the Auction this year. So, mark your calendars for Saturday, March 23, 2013 and get ready to put on your dancing shoes for a night of
fun!
We need your help to make the auction a success. The annual auction is the biggest fundraiser of the year. The money raised is essential in augmenting
the school's operating budget which enables St. George to offer high quality, affordable education.
We ask each family to be responsible for one auction donation and a contribution for their child’s "Class Basket," which will be offered in the Live
Auction. The room parents for each class will be contacting you soon to provide more details. Attached you will find auction solicitation tips, a donation
form, procurement letter, flyer about our community to share with potential donors and a list of auction item ideas. Additional donation forms can be found
on the St. George website.
While you are doing your holiday shopping, please take an extra minute with your favorite vendor to solicit a donation to the auction. We are hoping that by
starting our solicitations now, we will beat the rush of other area auctions and avoid panic in late February. We are in the process of reaching out to last
year's donors and looking for your special new ones.

Auction Item Ideas
The list below will give you a starting point for initial procurement brainstorming.
Travel – tie a travel package to a popular film, book, current event, or even the theme of your event. For example, a Sideways movie
travel package would include a stay at the hotel from the movie, dinner at the "The Hitching Post" restaurant from the movie, winery tours and, of course,
wine. Or, tie a trip to a popular event, like a travel package to a concert at the Chateau St. Michelle and a dinner at the Barking Frog or a limo ride to
and from the concert?
Adventure – an adventure experience applies to any age group and can be physical, intellectual, or spiritual. Look to local attractions
for ideas. What about a racecar driving class or becoming a fighter pilot for a day? A behind-the-scenes-tour of Seattle Museum, Woodland Park Zoo or
Seahawks training facility? A walk-on role in a local play? What about a lunch with a leader in education or business?
Celebrities – do you know any celebrities - present or past local sports stars, TV news anchors or business leaders willing to support our cause?
Consider not only individuals in the spotlight, but those behind the scenes who may be able to provide access to a 'spotlight celebrity' or items, like a
script or a prop, from a popular movie or TV show.
Miscellaneous – the sky is the limit for this category. Here’s a brief list of some ideas that are fun:
"Animal Encounters" at a Woodland Park or Point Defiance Zoo?
"Design-your-Own" Halloween costume - designed by your child, working with a costume designer and built by a local theater costume staff
Commission a customized painted mural
Free dance classes
Tour a local fine art collection
Become a named character in a novel, movie, or TV show
Water balloon fight, with balloons filled and stocked, and all clean-up provided
Date night - dinner and a movie
The more unique, interesting, and clever your items or packages are, the higher the revenue on each. Keep in mind the demographics and interests of your
audience and get creative to create bidding excitement.
Auction Solicitation Tips & Guidelines
Start Early! Starting early will beat the rush and avoid competing with other area auctions next spring. While you are doing your holiday shopping,
please take a minute with your favorite vendor to solicit a donation to the auction. Continue to solicit and follow-up in early January.
Who has the School Already Contacted? Solicitations are being sent to vendors from last year for donations to the auction and some new businesses. Please take a
moment to check the list of vendors already solicited (attached and on the website) before you reach out to your contacts.
What items should I request? Popular items include gift certificates for dinners, lunches, Stores, spa treatments, hotels or Inns, gift
baskets, tours or trips, tickets to shows or sporting events, jewelry, photography, and art. Many shop owners prefer to donate an actual item from their
store.
How do I ask? Introduce yourself as a parent from St. George. Ask if they can support the auction by donating a gift certificate or
services. Explain that donors receive premium placement in our auction catalog and that their item will be bid on by more than [150] attendees so it is
great publicity for their business. We will gladly display any promotional material they choose. Also mention that funds from the auction are essential for
the school's operating budget and enable the school to provide affordable, high quality education. If possible, fill out the donation request form with the
vendor and secure the donation on the spot. If you leave the form with the vendor, please follow-up with the vendor within a week or two.
Your items, talents, or services make excellent auction items. Your items do not have to be related to a local business. You also can donate a quality,
unused item of your own or your own skills. Some of the most successful items in the past have been dinners catered by school parents, tickets to sporting
events, or vacation homes donated by a family. Do you have a special talent, knowledge, or expertise that you could donate? Are you a great gardener or can
you offer your landscaping ideas? Can you give a special tour of your favorite museum or take a few kids on your family outing for an afternoon? Do you know
(or are you yourself) an artist, chef (or just a good cook), performer or athlete who could turn your skills into an auction item?
When are the auction items due? Auction items, along with completed donation request forms, and any other information or promotional material should be
returned no later than February 22, 2013, to ensure that the donation will be recognized in the catalog.
What should I do with the completed form and any auction items? Please bring to front office to Judy. We will announce special collection days in
January and February.
How do I ask about sponsorships? If you work at a company that you think would be able to donate to the school via a sponsorship,
please let them know that we have advertising space options available and that we would be happy to promote their brand or products during the auction.
